New Features
Bulk Download of Certificates per Learner
We've introduced the ability to bulk download all certificates for a learner directly from their profile in Flow MS.
Why this Matters
Previously, users had to download each certificate one by one, which was time-consuming — especially for learners with many completions. With this update, all certificates from a learner’s current module allocations can be downloaded in one click, saving time and streamlining admin tasks.
Note: only the most recent certificate for each module is included in the bulk download. Certificates from earlier completions can still be downloaded individually if needed.
Key Benefits
- Time-saving: Download multiple certificates in one go.
- Simplified audits: Quickly gather certificates for reviews or inspections.
- Efficient record keeping: Easier to file or archive certificates when needed.
Improvements
Certificate Download Filenames
Following the bulk download feature, we improved how downloaded Flow MS certificates are named to make them easier to identify and manage.
Why this Matters
Before this update, downloaded certificates all used the filename certificate.pdf, requiring users to rename files manually. Certificates now follow the pattern ‘Learner name_Module name’, giving users instant clarity on who and what each certificate is for.
Key Benefits
- Clearer filenames: Easy to see who each certificate belongs to.
- Less admin: No need to rename files manually.
Consistency: Logical, auto-named certificates keep files organised.
Appraisal Reviewers - Unassign Where User Permissions Change
We now automatically unassign reviewers from any incomplete appraisals if their permissions or branch access change and they no longer meet the criteria to review.
Why this Matters
Previously, reviewers remained assigned even after their access was removed, which created admin overhead to manually unassign them and reassign someone else.
With this update, reviewers are unassigned automatically, and those appraisals are reassigned to the branch default reviewer if one exists, or appear in the ‘Appraisals requiring reviewer’ tile on the dashboard where a branch default reviewer doesn't exist.Key Benefits
- Reduced admin: Less time spent manually unassigning and reassigning reviewers.
- Improved learner clarity: Learners only see valid reviewers assigned to their appraisals.
- Better visibility: Unassigned appraisals surface in the dashboard tile, prompting action.
Appraisal Default Text Aligned with Mapal One
We've updated how default text behaves in Flow MS Appraisals (in free type boxes) to match the experience in Mapal One.
Why this Matters
Default text in Flow MS Appraisals had to be manually removed by reviewers, whereas in Mapal One, the system automatically removed default text as users began typing. This update has brought the two platforms in line, saving time and improving consistency across systems.
Key Benefits
- Smoother experience: Aligns Flow MS and Mapal One behaviour.
- Faster completion: No need to manually delete default text before entering a response.
- Consistency: Makes the appraisal experience more intuitive across products.
Bug fixes
- Cloned Appraisals and Workbooks – Guidance Document Deletion
- We’ve fixed a bug where deleting a guidance document from a cloned Appraisal or Workbook also deleted it from the original. Now, deleting the document in a clone no longer impacts the original version.
- Appraisals – Mandatory Manager Questions (No Reviewer Sign-off)
- We’ve fixed an issue where Appraisals with no reviewer sign-off could be marked as completed even when mandatory manager questions were left unanswered. The system now prevents completion until all mandatory questions are filled in.
- Appraisals – Deletion of Uncategorised Questions
- We’ve resolved an issue where users couldn’t delete uncategorised questions in Appraisals before assignment. These questions are now removable as long as the Appraisal hasn’t been assigned.
